The free systems audit

Before anything gets automated, it has to be understood. A systems audit is a calm look at how your business actually runs — where time disappears, where information gets re-typed, and which steps only work because someone remembers them. No pitch, no pressure, no obligation.

What you get

  • A 45-minute call with Daria, online or in person in Cardiff.
  • One real job followed from first contact to invoice.
  • A plain-language map of where your team’s hours go.
  • A prioritised fix list you keep, whether or not you work with us.
  • No pitch, no obligation, no new software required.

How it works

1. A short conversation

About 45 minutes, on a call. You describe how work comes in and what happens next. We ask the questions that surface the steps nobody writes down.

2. We follow one real job

Not a theoretical process — an actual enquiry, from first contact through to invoice, including the chasing, the re-typing and the waiting in between.

3. You get the map

A plain-language summary of where the hours go, which steps are duplicated, and what breaks when someone is on holiday.

4. A prioritised fix list

What to fix first, what can wait, and what to leave alone. Yours to keep and act on, with us or without us.

Signs an audit would help

  • The same customer details typed into three different tools.
  • Jobs tracked in WhatsApp, spreadsheets or somebody's inbox.
  • A CRM nobody trusts because it is always out of date.
  • Work that only moves when the founder chases it.
  • Nobody can say how long a job actually takes.

If two or three of those sound familiar, the audit will pay for itself in clarity alone — and it costs nothing to find out.

Questions about the audit

What is a systems audit?

We follow one real piece of work through your business — an enquiry from first contact to invoice — and mark every duplicate entry, wait, handover and manual reminder. You get a plain-language report showing where hours are going and what to fix first.

Is the audit really free?

The first session is free and there is no obligation to work with us afterwards. A deeper, documented audit is fixed-price, and you only take that if the free session shows it is worth it.

How long does it take?

The free session runs about 45 minutes. A full documented audit takes 1–2 weeks, depending on how many workflows are involved.

What do I need to prepare?

Nothing formal. Bring one process that frustrates you and a rough idea of the tools involved. It helps if whoever actually does the work joins the call.

What happens after the audit?

You keep the findings either way. If you want the fixes built, we quote them as a fixed project or phased delivery, and we hand the finished system over documented so your team runs it without us.

Will you try to sell us new software?

Usually the opposite. Most gains come from clearer structure and connected handovers using the tools you already pay for.
